Job Announcement: Office of Campaign and Political Finance

 

Position: Administrative Assistant

The Office of Campaign and Political Finance seeks an Administrative Assistant. Working under the direction of the Chief Financial Officer/Business Manager, the Administrative Assistant is responsible for assisting in the day-to-day operations of the office. OCPF is an independent state agency with 17 employees and a $2 million annual budget.

 

Duties:

Duties include but are not limited to providing administrative support to ensure efficient office operations; maintain physical and digital files; answer telephone and route calls to appropriate personnel; monitor emails and route to appropriate personnel; assist in processing payroll and paying invoices; manage collection of fines and penalties from political committees and candidates; input and update information in databases and spreadsheets; prepare agendas and coordinate meeting logistics; operate and maintain office equipment; serve as backup for various positions during staff absences; point of contact for local election officials for reporting forms and processing referrals; and performs other duties as assigned by the Director or CFO/Business Manager.

 

Required Skills and Abilities

  • Ability to understand and apply statutes and regulations governing the operation of an independent agency.
  • Adept at navigating collaborative environments and independent work, interacting with a wide variety of stakeholders to advance agency objectives and provide regulatory guidance. Shows initiative, innovative spirit and eagerness to contribute fresh perspectives for process optimization.
  • Requires strong analytical, problem-solving, organizational, and communication skills. Proficiency in databases, reporting tools, and attention to detail necessary. Ability to maintain a high level of confidentiality and exercise discretion is essential.
  • Proficient in database, accounting computer application systems, Microsoft Word, Excel and Outlook; working knowledge in MMARS and HR/CMS as those programs are modified.

 

Qualifications:

BA/BS or professional experience in Business Administration or related field preferred, at least 3 to 5 years of full-time or, equivalent part-time professional experience in a related field; or any equivalent combination of education, training, certification, and experience.

 

Compensation:

This is a full-time, exempt position with an excellent state employee benefits package. This is an at-will position not covered by a collective bargaining agreement or civil service regulations. Starting salary will range from $65,000 to $75,000 depending on qualifications and experience. Currently a hybrid position based in Boston. Posting will remain open until position filled.
